Summary Interpretation of Role

The Administrative Assistant directly supports the Executive Director and the PRC staff and consultants. In partnership with the Executive Director and other PRC staff, the Administrative Assistant provides dedicated administrative support and customer service for building and maintaining relationships with PRC member churches and constituents, PRC events and workshops, and responding to phone calls, emails, and visits from PRC members and the public. Under direction of the Executive Director, the Administrative Assistant also offers general administrative support to PRC staff as well as project-driven specialized support to the PRC development work as needed.

  • A college education is required


  • Must be proficient in office technology and software, particularly word processing, spreadsheet creation and use, email communication (either in PC or Mac environments)
  • Experience working with contact databases preferred
  • Must be comfortable with the concepts and practice of using the internet
  • Familiarity with online collaboration and social media is a plus
  • Sharp proofreading skills and an ability to communicate clearly and concisely
  • QuickBooks experience is a plus, but not required

Duties & Responsibilities

The Administrative Assistant is responsible for providing administrative support in two main focus areas: office support and program support

  • Database management, reporting and daily upkeep of member records, including resources reserved, borrowed, and returned
  • Phone member churches and other constituents as needed
  • Marketing and communications assistance, including maintaining the website and social media
  • Fundraising and development support
  • Mailings coordination and processing
  • Regular weekly email communication with member churches to provide the information they need on upcoming events, workshops, programs, and opportunities
  • Generate monthly reports for the Executive Director
  • Various tasks and projects, as directed by the Executive Director, typically driven by upcoming events and initiatives
  • Helping to coordinate workshop and event details, including participant registration, set up, and payments
  • Coordinate PRC Administrative Assistants’ Round Table gatherings and lead these conversations
  • Work with other PRC staff to brainstorm about and develop the PRC’s three workshop seasons
  • Order resources and contacting publishers about new curriculum

Hours and Physical Requirements

  • Currently a 9 a.m. to 5 p.m. Monday through Friday, 40-hour per week position, but some evenings and the occasional weekend required
  • Ability to lift up to 25 lbs., to climb a flight of stairs on a regular basis, has a current driver’s license and comfortable, personal mobility

Reporting Relationship

The Administrative Assistant reports directly to the Executive Director, who provides direction and oversight on his/her overall workflow and workload. The Administrative Assistant also maintains close working relationships with PRC staff consultants and other PRC staff members.
